This public notice explains our general processing. A customer contract, data-processing agreement or service-specific notice may add more detail for a particular CallPlatform deployment.
1. Who we are and the scope of this notice
JMB Technology Ltd (“JMB”, “we”, “our” or “us”) builds and operates CallPlatform. JMB Technology Ltd is the controller for personal data collected through this marketing website and for its own account, sales and service administration.
For customer communications processed through CallPlatform, the customer will often decide why and how the data is used and JMB will act as its processor. The relevant customer privacy notice and contract apply to that processing.
2. Personal data we may handle
Depending on how you interact with us, this can include:
- Enquiry and contact data: name, company, work email, telephone number, region, areas of interest and the information you include in a form or message.
- Account and identity data: user name, role, account relationship, authentication and security records.
- Commercial data: services, numbers, packages, transactions, invoices, wallet or payment records and support history.
- Technical data: IP address, device/browser information, logs, timestamps, security events and information needed to operate and protect the service.
- Communications data: call detail, routing events, recordings, transcriptions, messages or AI interaction data where the customer enables those features and has an appropriate lawful basis.
- Integration data: account identifiers, permissions and credentials or tokens needed to provide an integration you choose to connect.
Please do not place sensitive personal data in a marketing enquiry form. The collection and use of sensitive information in a live call journey requires a separate design, governance and contractual review.
3. How and why we use personal data
We use data where necessary to:
- respond to enquiries and prepare a requested demonstration or proposal;
- enter into and perform a contract, provide support and administer accounts;
- route communications, provide enabled platform features and maintain service records;
- protect users, customers and our platform from misuse, fraud and security threats;
- meet legal, regulatory, accounting and tax obligations;
- improve reliability and product experience using appropriately limited operational information; and
- send marketing only where permitted and with the choices required by law.
Our legal bases can include taking steps at your request before a contract, performing a contract, complying with a legal obligation, legitimate interests in operating and protecting our business, and consent where the law requires it.
4. Service providers and recipients
We use carefully selected service providers where needed to run JMB and CallPlatform. These can include cloud hosting and storage, telecom carriers, email and messaging delivery, payment providers, support/collaboration tools, analytics and reporting infrastructure, and AI, speech or transcription providers for features a customer enables.
Website enquiry data is delivered to JMB’s private Slack workspace so the right team can respond. It is not posted to a public channel. We also receive your email address directly so we can reply.
When a customer connects a CRM, calendar, booking, dispatch or other business system, data is shared with that system only as required by the configured action. The customer remains responsible for choosing appropriate integrations and permissions.
We may also disclose information where required by law, to protect rights or safety, or as part of a corporate transaction subject to appropriate safeguards.
5. Google user data and other connected accounts
If you choose to connect a Google account, CallPlatform requests the scopes shown during authorisation. These may include basic profile/email information and, where you request the related feature, calendar or email access.
We use that data to authenticate you or provide the connected feature. We do not sell Google user data. CallPlatform’s use and transfer of information received from Google APIs is intended to comply with the Google API Services User Data Policy, including its Limited Use requirements.
Other connected providers have their own privacy terms. You can revoke a connection with the provider and, where available, from the CallPlatform integration controls.
6. Security and international transfers
We apply technical and organisational measures appropriate to the service and risk, including access controls, transport encryption, protected credential storage, logging and operational monitoring. No internet service can promise absolute security.
Some providers may process data outside the United Kingdom. Where UK data-protection law requires it, we use an approved transfer mechanism and assess the relevant service and data flow. A dedicated CallPlatform estate does not automatically make every carrier, AI provider or customer-connected API local; those boundaries are documented during solution design.
7. How long we keep data
We keep personal data only for as long as needed for the purpose for which it was collected, including service delivery, support, security, dispute, accounting and legal requirements. Retention varies by data type and customer configuration. A customer contract may specify retention for recordings, transcripts, call records and backups.
Enquiry records are retained for as long as reasonably needed to respond, manage the prospective relationship and maintain an appropriate sales record. You can ask us not to continue a sales conversation at any time.
8. Your rights
Subject to the applicable law and circumstances, you may have the right to request access, correction, deletion, restriction, portability or objection, and to withdraw consent where processing relies on consent.
If your request concerns data controlled by a CallPlatform customer, we may direct you to that customer or assist it in responding. You can also complain to the UK Information Commissioner’s Office at ico.org.uk.
